Tracking your jobs is a cornerstone feature of ServiceLine. ServiceLine allows you to track a lot of detailed information about each each job, including revenue versus cost and gross margin.
Job Listing
To view a list of jobs:
- Click on the ServiceLine logo in the upper-left corner of the page to navigate to the home page.
- Click on "Jobs" in the menu at the top of the page.
Each job has a unique identifier, called the job number (it starts with #J), and is the first column displayed in the jobs list. You can click this number or the customer name to view details about that particular job.
Filtering and Searching
Searching and filtering your jobs is very simple.
Searching
If you need to perform a quick search, use the "Search Jobs" form at the top of the job listing. This will search all of your jobs across the following fields:
- Job Number (exact)
- Customer Name (fuzzy, case-insensitive)
- Address (fuzzy, case-insensitive)
- Notes (fuzzy, case-insensitive)
- Address Line1 (exact, case-insensitive)
- Phone Numbers (exact)
- First Name (fuzzy, case-insensitive)
- Last Name (fuzzy, case-insensitive)
Filtering
You can also filter your jobs using the following fields:
- Start and End Date (exact)
- Service Type (exact)
- Agent (exact)
- Call Reason (exact)
- Call Result (exact)
- Campaign (exact)
- Priority (exact)
- Assigned To (Technician Assigned) (exact)
- Status (exact)
- Location Type (exact)
- City (exact, case-insensitive)
- State (exact, case-insensitive)
- Postal Code (exact, case-insensitive)
The filtering function is located on the left-side panel on the Jobs page.
Exporting
You can export a list of jobs using the "Export to Excel" button in the upper-right corner of the job list on the Jobs page.
Job Details
Click on any job number to view its details. By default, the job interface will show you eight tabs:
- Overview - The "Overview" tab displays a complete job overview, including options presented, tasks sold, materials used, job totals, and labor costs.
- Assignments - The "Assignments" tab allows you to manage who this job is assigned to. You can also add additional assignments from this tab, if needed.
- Invoices - The "Invoices" tab allows you to see any invoices, associated with this job. You can also click on the invoice to view it as well.
- Debriefs - The "Debriefs" tab allows you to see any debriefs, associated with this job. You can also click on the debrief to view it as well.
- Labor - The "Labor" tab allows you to manage the labor costs associated with this job.
- Time Cards - The "Time Cards" tab allows you to see all time cards associated with this job.
- Warranty Claims - The "Warranty Claims" tab allows you to manage any warranty claims made about this job. You can also add warranty claims from this tab, if needed.
- Details - The "Details" tab allows you to manage details about this job, including the type of service, location details, or customer contact information.
Managing Assignments
Though you can manage assignments through the dispatch calendar, ServiceLine also allows you to manage additional assignments from the job itself. The "Assignments" tab lets you add assignments for additional days, adjust, or delete assignments.
To add a new assignment:
- Click on "Jobs" in the menu at the top of the page.
- Click on the job you would like manage the assignments for.
- Click the "Assignments" tab.
- Click the "Add Assignment" button.
- Enter the assignment details.
- Click the "Save Assignment" button.
To cancel an assignment:
- Click on "Jobs" in the menu at the top of the page.
- Click on the job you would like to manage the assignments for.
- Click the "Assignments" tab.
- Locate the assignment you would like to cancel and click on it.
- Click the "Cancel Assignment" button.
*Note: This will not delete any previously calculated labor for that technician. Also, you cannot delete an assignment that has already been completed.
Adjusting Labor
ServiceLine will track labor against a job automatically. Labor is comprised of three values:
- Hourly labor - Hourly labor is calculated by multiplying the time a technician was on a job by their hourly rate.
- Commission labor - Commission labor is calculated for each task that has a labor rate associated with it for each technician assigned to a job.
- Bonuses - Bonuses are manually added by a manager if the work warrants it.
You can adjust the commission and bonus labor for any technician assigned to a job. If you adjust the commission or bonus labor for a job, ServiceLine will no longer automatically calculate the labor for that technician for that job.
To adjust the labor on a job:
- Click on "Jobs" in the menu at the top of the page.
- Click on the job you would like to adjust labor for.
- Click the "Labor" tab.
- Click the technician you would like to adjust the labor for.
- Update the amounts as needed, then click the "Save Labor" button to save your changes.
Tracking Warranty Claims
ServiceLine can track (and report) on warranty claims left against a job. When a warranty job is finished, you will want to track the claim made against the job in ServiceLine.
To track a warranty claim:
- Click on "Jobs" in the menu at the top of the page.
- Click on the job you would like to track a warranty claim for.
- Click the "Warranty Claims" tab and click the "Add Warranty Claim" button.
- Enter the warranty claim details then click the "Save Warranty Claim" button.
When the warranty claim is paid, you can return to the warranty claim, enter the amount you were actually paid, and close it.
Deleting a Job
Administrators have the ability to delete a job. Deleting a job is permanent and CAN NOT be undone. Only cancelled jobs can be deleted.
To delete a job:
- Click on "Jobs" in the menu at the top of the page.
- Click the job you would like to delete.
- On the Overview tab, click the "Cancel Job" button at the bottom of the page.
- Then click the "Details" tab and click the "Delete Job" button at the bottom of the page.
- Finally, click the "Confirm Deletion" button to confirm you really want to delete the job.
*Note: You must cancel a job before you can delete it as a precautionary step to ensure you really want to delete this job.
When a job is deleted, ALL related information, including labor, invoices, and debriefs are deleted as well.
